Structure: retainer, milestone or time-based

Retainers should be invoiced at the start of each period ("Advisory retainer — June 2026"), not after it. Milestone billing suits project engagements — tie each invoice to a named deliverable the client has accepted. Time-based billing needs a summary line per workstream with hours and rate; attach the detailed timesheet separately rather than cluttering the invoice.

Navigating enterprise accounts payable

  • Get the PO number before you start work, and print it on every invoice
  • Confirm the exact legal entity name to bill — subsidiaries are a common rejection reason
  • Ask for the AP contact and copy them when you send the invoice
  • Expect Net 30; negotiate deposits or staged billing rather than fighting the term itself

Expenses and disbursements

Pass through travel and project expenses as their own line items, at cost, referencing the agreement that allows them. Mixing expenses into fee lines invites disputes and tax complications. If you mark up expenses, that must be agreed in your engagement letter.
